CONTROL SCREEN
The Control Screen, as the name indicates, allows you to control the features, utilities and database management of your Realty Management software through easy to use toolbar buttons and menu options.
After a short while, you will be able to select the appropriate options from the Control Screen through training provided by us on a one to one basis over the Internet. We also provide a training manual, in PDF format.
Note the version number of the software below the DataTrac logo. Our software is being continually improved and the latest files can be downloaded by clicking on the Updates button in the toolbar.
Client Information Screen
The Client Information Screen allows you to create, edit and delete Owner records and to store contact details and other relevant information such as listing pricing and listing agent details. This screen also holds various other tabs that are shown and commented on below being Notes, Special, Realty, Realty Features, Realty Photos, Realty Internet and Match Make.
Using this screen is very easy and intuitive as the field names are self explanatory. In addition, we provide comprehensive one to one training in the use of our software which fast tracks getting information into DataTrac and using it's various features, modules and utilities.
Notes
The Notes Tab allows you to create notes on your relationship with the Owner, to diarise them by using the date options on the right side of the screen and to set a Reminder, for the the note, if required. The reminder feature works similarly to that in Outlook.
Special
The Special Tab on the Client Information Screen contains a variety of frames for storing useful information such as Tenant details, Keys / Security notes (what to remember when you visit the home, if the Owner lives elsewhere), Anniversaries and Advertising Board controls, Selling Price and Commission details.
Realty
The Realty Tab provides the necessary fields for you to be able to give your listing, an appropriate Headline, Description, Price tag and set the Internet Reference for it.
Realty Features
The Realty Features Tab is comprised of two sub tabs "Main Accommodation" and "Additional Features" allowing more than sufficient fields to list and / or describe the features of the property in detail.
Realty Photos
The Realty Photos Tab contains two easy to use utilites for managing the sizing of the photos for your listing and the sequence of display of the photos: within DataTrac; on your website; and, in brochures that you can produce for the property. These are Image Resizing and Image Selection which have buttons on this screen by those names.
Notice also, in the photograph tabs, that there are four placholders per tab and three tabs meaning that you can have upto 12 photos for each listing and that there is also a slideshow tab, which when clicked on, displays a single large placeholder for you to showcase the listing to potential buyers.
Realty Internet
The Realty Internet Tab is comprised of two sub tabs "Website Info" with appropriate fields for the Property Type and Geographical Location of the property, etc. and "Additional Options" which is used for the automated Gumtree uploading application that we have developed.
Match Maker
This feature of the Realty Management software allows you by clicking on the relevant tab to match the property type, geographical location, price and features of the current listing against the profile of potential buyers(corresponding fields in the Buyers database). Notice at the bottom of the screen that you can view the buyers' profiles directly by clicking on the Buyers Info button and you can also print a report of the buyers in the grid.
Reports
We provide a variety of reports to enable you to manage and admister your sales operations, an example of which is shown below (Realty Stock Report).
