INTERNET MENU OPTIONS AND REPORTS We have enhanced the Internet menu options which you access via the Control Screen to make them easier to understand.
These menu options allow you to easily control which listings appear on your website and which are flagged for Gumtree uploading as well.
We have also improved the “Listings – Gumtree” and “Internet Listings” reports which you access via the Main Menu on the Control Screen.
The Gumtree report shows you the pertinent details for your listings and is particularly useful to check that you have completed all the relevant fields to avoid errors while you are uploading to Gumtree.
Similarly, the Internet Listings Report shows you the info of your listings including those flagged for Gumtree uploading and also categorises your listings so that you can see at a glance the status of your listings.

BACKUPS We remind you of the importance to do backups on a regular basis so that you do not run the risk of losing your valuable data for whatever reason.
Apart from your backups, we have included in the program ‘SystemGenerated’ backups of the CstRcds1 and Bookings databases, each day of the week, when you open DataTrac on that day for the first time. These backups are stored in the “Backups” folder in your main Datatrac directory and may be maintained via Utilities | Manage Backup Files, in which screen you will be able to see all the “SystemGenerated” backups and delete those which you no longer wish to retain. We suggest you keep two weeks backups at all times in this folder.
Please do NOT rely on us (the system) to do backups for you since we do not assume any obligations in this regard.
We also remind you to periodically (weekly), backup your entire DataTrac directory to an external storage device so that you have peace of mind knowing that your data and supporting files are safe and secure, in the event of your computer’s hard disk drive crashing or worse, your system being stolen.

MULTIPLE LEDGER AND COMBO VIEWS
We have included Refresh and Refresh Selected buttons in these forms which allow you to refresh the yellow listbox and the particular selected record following changes that may have been made in other screens within the program.
Previously, you would have had to close and reload the MLV or Combo Screens in order to refresh the listbox records and click on another record in the listview followed by clicking on the selected record again, in order to refresh the tables for that record. These steps are no longer necessary as the new buttons do the job for you.
REPORT VIEWER: TENANT AGE ANALYSIS REPORTS In addition to being able to Suppress Zero and Credit Balances, we have added “Suppress Dr Balances < R100” so that these small balances do not show on the report.
REPORT VIEWER: ADDITIOINAL SORTING OPTIONS We have included additional sorting options in the following reports which allow you the flexibility of sorting the records by Date, Reference or Account Number: Tenant Invoices Posted Report; Tenant Receipts Report; Landlord Invoices Posted Report; Landlord Payments Report.

BUYER CRITERIA REPORT
As you know, the Buyer Criteria Report is accessed via the Control Screen | Reports | Buyers | Buyer Criteria Report.
Previously this screen allowed you to enter details on and the requirements for a particular Buyer which could then be used to filter listings by clicking on the Filter Data button. However, you could not save these details which meant that each time you used the Buyer Criteria Report, you would have to enter the values again in order to filter the data.
We have substantially improved this report / screen by including Notes, Actioning, Reminders and New, Delete, Save buttons into the screen functionality. These buttons are self explanatory and now enable you to store information on the particular buyer which you can retrieve at any time by clicking on the Buyer in the listview on the left of the screen. Remember that as this screen now writes to a database, you need to click on Save to record changes and / or Refresh to update the listview.
Also, very importantly, you will notice when you click on the Filter Data button that the resultant screen display now contains a Create Buyer button which enables you to write the values for the Buyer to the Buyers database including the profiling details.
The improvements to this screen specically take into account the scenario of prospective buyers calling or visiting your offices and requesting “quickly” as is usually the case, a list of properties which they can view or have details eMailed to them of what you can offer. Previously, if your used the Buyer Criteria Report you would have to enter the data again into the Buyers screen which is time consuming and is no longer necessary.

COMBO VIEW We have included a new screen display in the View menu option on the Control Screen called "Combo View" which allows you to see, for each property in your portfolio, the Landlord, Property and Tenant details on one screen.
This is a multi-tasking screen which allows you to carry out numerous functions shown in the toolbar at the top of the screen as well as being able to send SMS’es and eMails to your Landlords or Tenants, respectively.
Please note that the fields in the Combo View are locked so that you can’t change data values in error.
The Combo View is the brainchild of Reinhard Eifler of ePropertySolutions in Benoni and we take this opportunity to thank him for his input and contribution to the inclusion of this important feature in our Letting Management software.

REFERRAL SYSTEM:
Please don’t forget abour our Referral System in which you can earn commissions as follows:
• On DataTrac Software sales, 25% of the initial, basic fee income payable on receipt of the funds from the new client. This means for Realty installations, the fee will be R1000.00; Letting installations, R1250.00; combined Realty and Letting installations, R1500.00.
• On Website Designing, 25% of the initial, Premium Website fee equating to R1500.00.
All you have to do to qualify for the referral commission is to simply pass the lead onto ourselves via eMail. However, the more you assist with promoting our services, the greater the likelihood of your leads materialising into business.
We will maintain a referrals control file to ensure that your leads are recorded and we will keep you advised of progress in our discussions with the Parties concerned.
